My recommendation for the library
Start simple: keep the first document library inside Discourse. That means one login, searchable posts, categories, comments and attachment history. If the document volume grows, we can later add a dedicated document system and link it from here.
✓Phase 1: Discourse category “Document Library” with pinned index topics.
✓Phase 2: Add document types: bylaws, minutes, forms, finances, maintenance.
✓Phase 3: If needed, migrate heavy files to Nextcloud/Docmost/Outline and keep forum links.
Document Library structure
The forum now has a dedicated library area. Use it for documents that should remain searchable, discussable and auditable.
